Constitution of: Rutgers University Polish Club

Article I

The name of this organization shall be Rutgers University Polish Club.

Article II

The purpose of this organization is to provide students of Polish background or nationality as well as any other Rutgers University students interested in Polish culture with a variety of cultural and educational experiences related to Poland; additionally, to promote Polish culture in the Rutgers Community.

Article III

Membership shall be open to all Rutgers University students and must comply with federal laws prohibiting discrimination on the basis of race, creed, color, religion, national origin, ancestry, age, sex, disability, marital status, familial status, affectional or sexual orientation, or veteran status.

Article IV

The minimum officer positions of the above named organization shall be: President, Vice-President, Treasurer, and Secretary. Officers of this organization shall only be students of Rutgers University .

Section 1

a. The President shall be responsible for organizing and running all organizational meetings. The President shall also be responsible for all actions of the organization and shall serve as official representative of the organization.

b.  The Vice-President shall be responsible for all of the Presidential responsibilities, in case of his or her absence.

c.  The Treasurer shall record all the actions of the organization, handle all financial transactions and records of the organization and maintain all correspondences for the organization. Treasurer must also keep an accurate up-to-date list of all voting members and submit it to the Rutgers College Student Activities Office, as required.

d.  The Secretary shall be responsible for maintaining correct contact information between the members and the Executive Board. The Secretary shall be responsible for keeping an account of the meeting minutes and relaying this information to the club members. The Secretary shall provide the necessary information to update the Polish Club Home Page.

e.  The Programmer shall work with the Executive Board to develop, plan, and execute club activities. He/She shall act as a source of reference for the past and upcoming club activities

f.  In the case of a tie vote for any given position, both candidates will then share the responsibility of the position.

Section 2

a.  Rutgers College requires that all organizations must keep its funds in the Rutgers College Student Fund Accounting Office.

b.  The following officers: President and Treasurer shall be the only authorized people to withdraw funds.

Section 3

In accordance with Rutgers College requirements, the Advisor of the organization must be any full time faculty or staff member.

Section 4

The Executive Board shall consist of the above named officers and the advisor. The advisor is a non-voting member. It shall be the responsibility of the Executive Board to supervise the election nomination and process.

Article V

Section I

a.  The method of nominations from the floor and self-nominations shall be used to nominate all candidates for the following academic year. The officers nominated shall include a President, Vice-President, Treasurer, and Secretary.

b.  The officers shall preside over the election and will tabulate the results unless an incumbent officer is a candidate and in such a case he or she shall not tabulate the results.

c.  Nominations for officers shall be made at the meeting prior to the elections.

d.  No student may simultaneously hold more than one office on the Executive Board.

e.  If after the close of nominations there is no candidate for a given position, the present Executive Board shall appoint an individual to fill the vacancy with the present membership's approval.

Section 2

The above mentioned officers shall be elected by a plurality of votes cast by secret ballots.

Section 3

Should a vacancy occur in any office, the Treasurer shall assume the position's duties until the next regular scheduled election. If the Treasurer cannot assume the duties, a special election shall be held to fill the vacancy.

Section 4

a.  Impeachment proceedings may be brought against the officer of the organization by any three (3) members of the organization.

b.  Removal from office requires a two-third (2/3) vote of the meeting's voting members.

Article VI

Special meetings will be held when requested by any of the officers, the advisor, and/or when petitioned by ten (10) percent of the members. There shall be a general meeting once a week, unless there is an unavoidable circumstance that calls for a rescheduling of the meeting.

Article VII

a.  Any member may propose an amendment to its constitution. A written copy of the proposed amendment shall be submitted to the Executive Board, which shall give written notification to the membership at the meeting following the receipt of the proposed amendment.

b.  This constitution may be amended by a two-third (2/3) vote of the members. Provided the amendment was submitted in writing at a previous regular meeting and notice was given to all members at least one week before the meeting concerning the constitutional amendment. The amendment will go into effect after it has been presented to and approved by the Student Activities Office charter.

Article VIII

This organization shall abide by all applicable laws of the State of New Jersey and the United States of America .

Article IX

This organization shall abide by all applicable rules and regulations of the University and under the privileges as granted by the Office of Student Development & College Affairs, Deans, and Dean of students where chartered. This organization shall also abide by the rules and regulations of the Board of Governors, the University and the colleges as provided by the Board of Governors and the Deans of the Colleges.
